The second kind of AI. Not an agent that does a job. A way for staff to ask the records you already have, without the records leaving.

Private AI

People are already pasting client files, student records and internal notes into a public chat box. That is the problem this service is for. The useful version answers from the documents you choose, and those documents stay yours.

Policies, the last hundred tickets, a course handbook, the folder the faculty office actually trusts. Someone asks a question in plain English. The answer comes back with the page it came from. If the record is not there, it says so. It does not invent a policy.

This is separate from an agent. An agent drafts, sorts and reminds. Private AI is for the question a person would have spent twenty minutes hunting for. A person still decides what to do with the answer, especially where a student, a client or a sum of money is involved.

We write down what is in, what is out, and who can ask. A shared drive full of everything is not a knowledge base. The first week is usually throwing out the files that should never have been in the pile.
